Tent Hire Policy – Care and Damage
Thank you for choosing our tent rental service. To ensure the longevity of our tents and provide a smooth experience for all customers, we have established the following policies regarding the care and handling of our tents. By renting a tent, you agree to abide by these terms.
1. Setup and Takedown
Our Team Handles Setup and Takedown:
We will transport, erect, and dismantle your tent to ensure it is properly secured and in optimal condition. You are not permitted to adjust or modify the structure of the tent (e.g., poles or pegs).
Ropes and Guy Lines:
While the ropes and guy lines will be properly tensioned upon setup, it is your responsibility to monitor them during the rental period. Please ensure that no activities or obstructions loosen or damage the ropes, as this can compromise the tent’s stability.
2. General Care Guidelines
To help us maintain the quality of our tents, please follow these care instructions during the rental period:

Keep Clear of Sharp Objects:
Avoid placing sharp objects, debris, or rough materials near or against the tent groundsheet or walls. -
Avoid Harsh Weather Damage:
If strong winds or storms occur, take care to protect the ropes and ensure nothing interferes with their tension. Notify us immediately if severe weather causes any damage to the tent. -
Cleanliness:
Keep food, drinks, or substances that could stain the fabric away from the tent walls.
3. Weather Conditions

Wind and Rain:
Ensure the tent area remains free of items that could strain or damage the structure, such as heavy branches, objects pressing against the walls, or pooling water near the tent edges. -
Fire Safety:
Tents are strictly non-smoking areas. No open flames, campfires, or fireworks are permitted inside or within 2 meters of the tent.
4. Damage Responsibility

Your Responsibility:
You are responsible for ensuring that the tent and its components (including ropes, poles, pegs, and groundsheet) remain in the same condition as when provided. -
Minor Wear and Tear:
Small scuffs or marks are acceptable and will not incur charges. -
Significant Damage or Loss:
Any significant damage (e.g., rips, burns, broken poles, or missing components) caused by misuse of the tent will result in additional charges billed after the event.
5. Inspection and Deposit

Pre-Event Inspection:
Our team will inspect the tent after setup to ensure it is in excellent condition. Any existing issues will be documented and shared with you. -
Post-Event Inspection:
The tent will be inspected before takedown. If any significant damage or loss is found, you will be notified and invoiced within 14 business days.
6. Prohibited Activities
To avoid damage to the tent, the following activities are strictly prohibited:
- Cooking or using open flames, or gas burning appliances inside or too close to the tent.
- Smoking or vaping inside the tent.
- Modifying or altering the tent structure in any way.
7. Emergencies
If any issues arise during your rental period, such as weather-related damage or structural concerns, please contact us immediately. We may be able to provide assistance or guidance to minimize further damage.
8. Liability
- We are not responsible for any personal items or property stored inside the tent.
- Any injuries, damages, or accidents caused by misuse of the tent are the sole responsibility of the renter.
9. Additional Charge Policy for Damage
If the tent sustains significant damage and the repair or replacement cost exceeds the value of the tent, you will be invoiced for the full sale amount of the tent minus the hire fee. The tent will then become your property. Any shipping charges required will be at the renter’s expense.
By renting a tent, you acknowledge that you have read and understood this policy. You agree to take full responsibility for the care of the tent during the event and to ensure it is returned in the same condition it was provided.
